Marin Academy seeks a highly capable, proactive, and trusted administrative professional to serve as Assistant to the Leadership Deans. This newly created, full-time role is central to the effective functioning of the school’s student and adult-facing leadership team, which includes the Dean of Equity and Inclusion, Dean of Academics, and Dean of Students.
This role is designed to manage significant logistical and administrative responsibilities—freeing the Deans to focus on strategic leadership, student support, adult supervision, and mission-driven work. The Assistant to the Leadership Deans will be deeply integrated into the daily life of the school, entrusted with confidential information, and empowered to exercise judgment, initiative, and discretion in managing complex and highly evolving workflows.
The ideal candidate is highly organized, collaborative, identity-conscious, and unflappable; someone who enjoys bringing order to complexity, anticipates needs before they arise, and thrives in a dynamic, relationship-driven school environment. Flexibility and a strong sense of humor are required!
Core Responsibilities
Leadership Team Support & Coordination
Provide comprehensive administrative support to the Dean of Equity and Inclusion, Dean of Academics, and Dean of Students.
Leads the management of multiple calendars, priorities, and workflows.
Coordinate meetings, retreats, and special initiatives for the Deans, including agenda preparation, materials, scheduling and other logistics.
Manage the logistics of external community partnerships and visiting speakers.
Draft, edit, and distribute internal and external communications on behalf of the Deans with professionalism, clarity, and discretion.
Act as a confidential and professional point of contact between the Deans and faculty, staff, students, families, and external partners.
Assist Leadership Deans in managing the faculty and staff evaluation process through the MA Portfolio System and related scheduling of meetings and classroom observations.
Hiring & Staffing Logistics
Serve as the lead coordinator for substitute teacher coverage, partnering with department chairs to ensure smooth daily operations. This work is highly dynamic and must happen in a timely manner.
Maintain accurate records related to faculty absences, substitute assignments, and related payments and communications.
Coordinate logistics for faculty and staff hiring processes, including posting positions in collaboration with Communications and HR, sorting applications, scheduling interviews, organizing candidate visit days, arranging travel and accommodations, and supporting reimbursement processes. This work includes both planned and unplanned hiring processes throughout the academic year and during the summer.
Overseeing hiring timelines, schedules, candidate pool oversight, and process documentation while leaving evaluative decisions to school leadership.
Operational & Project Support
Manage logistics for meetings, events, and projects led by the Deans, including room reservations, materials, meals, and calendars.
Support cross-departmental and time-limited initiatives that advance the school’s strategic priorities and daily operations.
Proactively identify opportunities to improve systems, workflows, and communication processes that support the Leadership Team’s effectiveness.
Use technology skillfully to manage information, calendars, documents, and communications with efficiency and accuracy.
Lead innovation as it relates to utilizing AI towards improving and evolving workflows.
Relationships & Community Presence
Maintain a visible, accessible, professional and approachable presence on campus.
Interact regularly with students, families, faculty, staff, and external constituents in a manner that reflects Marin Academy’s mission and values.
Handle sensitive information with the highest level of confidentiality and professionalism.
Qualifications & Attributes
Experience in a high-trust administrative or executive support role, ideally in an educational or mission-driven organization.
Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.
Strong interpersonal and communication skills; comfortable working with a wide range of constituents.
Sound judgment, discretion, and the ability to work independently while staying closely aligned with leadership priorities.
High level of comfort with technology and office systems; ability to learn new tools quickly.
Sense of humor, flexibility, and calm under pressure.
