Position Summary/Overview:
The Assistant Athletic Director reports to the Athletic Director and supports the administrative direction and day-to-day logistical operations of The Bush School’s K-12 athletic program. This position serves as a key member of a collaborative and well-resourced department that includes the Athletic Director, Associate Athletic Director, Athletic Trainer, Fitness Specialist, Athletic Department Intern, coaching staff, and on-call staff. The Assistant Athletic Director serves as the primary on-site point of contact, providing consistent administrative support and continuity, particularly when the Athletic Director and Associate Athletic Director are engaged in on- or off-campus responsibilities.
About the Athletic Department:
Within the department structure, the Athletic Director oversees the full K-12 program with a primary focus on the Upper School, and the Associate Athletic Director leads Middle and Lower School programming while supporting department-wide priorities. The Assistant Athletic Director plays a critical role in supporting all divisions, with primary responsibility for coordinating logistics, ensuring smooth daily operations, and implementing and maintaining systems that allow the program to run efficiently.
The Bush School athletic program works within the rules of the Washington Interscholastic Activities Association (WIAA) and the Emerald Sound Conference to provide athletic opportunities and competition for students of all gender identities. While most sports are offered separately for boys and girls, the Athletic Department staff is committed to working collaboratively with each participant to determine options that best suit each student-athlete’s journey.?
While other duties may be assigned, qualified candidates will be able to manage the following key responsibilities and tasks:
Leadership and School Engagement
Lead with care, enthusiasm, professionalism, positivity, and school spirit.
Demonstrate alignment with the Athletic Department’s core values and support department-wide priorities.
Serve as a visible and supportive presence at athletic events and within the school community.
Show initiative, and collaborate effectively with the Athletic Department Team to advance departmental goals.
Program Operations & Communication
Maintain positive, professional communication with students, families, colleagues, and external partners.
Serves as on-site point of contact for on-campus athletic facilities, responding to issues, collaborating on shared spaces, and helping maintain organized, safe, and functional facilities.
Communicate scheduling updates and logistics with students, families, coaches, and staff.
Track attendance, eligibility, and required forms to ensure compliance with school and league policies.
Support coaches with logistics, communication, and program needs.
Scheduling, Facilities & Logistics
Build and maintain the athletics master schedule, including practices, contests, and facility use.
Coordinate contest scheduling with coaches, league partners, and opposing schools.
Oversee facility reservations and troubleshoot day-to-day operational needs.
Coordinate transportation logistics for all practices, contests, and team activities, including school vehicles, and charter buses; hire on-call drivers as needed.
Manage early dismissals and other operational workflows.
Game Day & Event Management
Participate in a rotating schedule of administrative coverage for practices and contests.
Oversee home game operations and logistics, including hiring game-day staff and officials.
Support livestream operations, concessions, and game-day setup.
Assist with planning and executing special events, recognition, and community building efforts.
Student-Athlete & Coach Support
Supports initiatives that enhance the student-athlete experience.?
Help troubleshoot day-to-day student, coach, and team needs.
Assist with coach onboarding and ongoing athletic department initiatives.
Administrative & Program Support
Maintain various athletic department records and data (e.g. health forms, team rosters, school records, conference honors, awards, participation numbers).
Support uniform and equipment inventory and management.
Complete various registrations for league participation, tournaments, and invitationals.
Successful Candidates Will Have
Minimum two years of experience in athletic administration
Working knowledge of NFHS and WIAA rules and regulations
A commitment to supporting a positive, inclusive, and student-centered athletic experience.
Strong communication and interpersonal skills, with the ability to build positive relationships across the school community.
Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities at once.
A proactive, solutions-oriented mindset with the flexibility to adapt and troubleshoot effectively in a fast-paced environment.
A collaborative approach and willingness to take initiative and follow through.
Ability to manage sensitive and protected information while maintaining confidentiality.
Comfort with technology, digital platforms (e.g. Arbiter, FinalForms, August Schools), and administrative systems.?
Availability to work evenings and weekends based on athletic schedules.
