Position Overview
The Hudson School seeks an experienced, highly organized, and service-oriented professional to support the day-to-day work of a Preschool–12 Admissions & Development office. This role is ideal for someone who understands the pace and rhythms of enrollment work and takes pride in managing details, systems, and processes with care and consistency.
Reporting to the Assistant Head of School for Admissions & Development, the Admissions & Development Associate plays a central role in ensuring that admissions & development operations run smoothly and that systems are well-maintained. This individual will help create a thoughtful, responsive, and well-organized experience for prospective families while also supporting the school’s advancement efforts through accurate record keeping, data management, and behind-the-scenes coordination.
Primary Responsibilities
Admissions Operations & Daily Workflow
Manage the day-to-day operations of the admissions office, including application tracking, interview scheduling, visit coordination, and follow-up
Maintain accurate and up-to-date records in admissions systems and databases (e.g., Ravenna, FACTS, Clarity)
Support admissions timelines, deadlines, and decision cycles
Coordinate logistics for open houses, information sessions, school visits, and admissions events
Ensure systems and processes are organized, predictable, and well-maintained
Applicant & Family Support
Serve as a welcoming and responsive point of contact for prospective families
Communicate clearly and thoughtfully with applicants and caregivers throughout the admissions process
Anticipate common questions and proactively support families through each stage
Help ensure that every family interaction reflects The Hudson School’s values and commitment to care
Development Operations Support
Maintain accurate donor and gift records within the school’s development database (e.g. Raiser’s Edge NXT or similar CRM)
Support gift processing, acknowledgment tracking, and reporting as directed
Assist with event coordination logistics related to development initiatives (e.g., annual gala, giving campaigns)
Support data integrity and internal reporting needs for advancement efforts
Help ensure that development systems are organized, consistent, and reliable
Systems, Data & Process Support
Track application progress and enrollment data to support internal planning
Assist with reporting, recordkeeping, and process improvement, as directed
Support the refinement of workflows and systems to ensure consistency and efficiency
Collaboration & Team Support
Work closely with the Assistant Head of School and Admissions Associate to support shared priorities
Coordinate with division heads, faculty, and staff around visits, interviews, and admissions programming
Provide cross-divisional admissions support during high-volume periods
This role is best suited for someone who enjoys clear priorities, structured workflows, and collaborative work, and who is comfortable executing established plans while supporting the broader goals of the school. This position may be especially appealing to professionals with experience in independent school admissions, college admissions, advancement services, or school-based operations, who are looking to contribute meaningfully within a collaborative and mission-driven environment.
Qualifications & Experience
Bachelor’s degree required
3–5+ years of experience in admissions, enrollment management, or a closely related field (independent school or college admissions experience strongly preferred)
Strong organizational skills and attention to detail
Ability to manage multiple priorities and deadlines calmly and effectively
A customer-service mindset with excellent interpersonal and communication skills
Comfort using admissions databases, CRM systems, and spreadsheets
Willingness to work some evenings and weekends during peak admissions season
Ability to take direction, follow established processes, and execute tasks reliably and thoughtfully
Work Environment & Flexibility
This position is primarily in-person on campus in Hoboken, NJ, with occasional flexibility to work from home, particularly during non-peak periods or for focused administrative work.

We began with 18 middle school students in 1978 (of whom 12 received scholarships through the generosity of the Geraldine Dodge Foundation) and now include 195 students in grades 5 – 12. We continue to admit every qualified student for whom we have room and do whatever we can to help that child’s family meet the costs of sending their child to our s...chool.
In 2024-2025 we will begin a new chapter by the addition of a lower school. We are merging with Mustard Seed School in Hoboken to become the only PK-12 independent school in Hudson County.
