Summary: The San Francisco Waldorf High School seeks an enthusiastic, detail-oriented Registrar for the 2026-2027 school year. The High School Registrar is responsible for the production, organization, and maintenance of student records, course/class scheduling, and database management. The Registrar also works directly with the College Counselor, High School Director, and the high school front office. This position is a hands-on, organizationally demanding role with ample room for input, creativity, and responsibility for larger projects.

The San Francisco Waldorf School (SFWS) was founded in 1979 and serves more than 350 students across a parent-child program, a preschool program, kindergarten, and the first through twelfth grades. Waldorf Education is the fastest-growing independent school movement in the world. This dynamic approach to child development and education, based on the teachings of Rudolf Steiner, is continually examining itself and adjusting to meet the needs of current students. Responsibilities include:
Production, Organization, and Maintenance of Student Records
Set up scheduling in Blackbaud before each school year.
Registration of high school students into their classes: create, send, and process Google Forms to collect enrollment requests for Senior Academic Electives, Performing Arts, World Language, Art Electives, and Co-curricular Electives.
Coordinate with faculty/HS Director to form class lists; create course sections, and enroll students in classes; create individual student schedules.
On-going maintenance of student and family records in the database (mid-year transfer students, exchange students, drop/adds, etc)
Database entry of other student records including attendance, courses, grades, student evaluation reports, community service hours, student activities, medical and emergency information, vital statistics, etc.
Generate Official Transcripts and various reports from the database
Coordinate and oversee the proofing of quarterly Student Evaluation Reports, working on the Proofing Team, format the reports, and publish to families.
Submit yearly seniors’ GPAs to CA Dept. of Education for CalGrant.
Assistance with College Counseling Activities
Provide the College Counselor with student records as needed
Manage SFWHS’s UC A-G List in coordination with the College Counselor, to ensure SFWHS courses meet UC/CSU articulation requirements and are updated as needed, enlisting the help of teachers for course submissions.
Manage SFWHS’s NCAA Courses List, updating as necessary
Prepare instructional documents to assist seniors in filling out college applications (UC/CSU/Common App, etc)
Assist College Counselor in presenting college application workshops for seniors. Meet with some seniors individually, as needed, to work on college applications (ie: assist College Counselor)
General Office and Staff Responsibilities
Preparation and sending of correspondence related to student records
Timely communications to faculty/staff/families as needed
Contribute to planning the yearly calendar, weekly bell schedule, yearly main lesson rotation, art block rotations, and co-curricular electives.
Create shared documents representing the above items (HS Weekly Schedule, Main Lesson Rotation, Art Block Schedules, Health/Study Skills/Eurythmy Block, Co-curricular Elective blocks) to be posted on campus and on MySFWS Resource Boards (the school portal) for faculty/staff/students/parents.
Email management: receive, send, and respond to communications in a timely manner
Process and maintain records of Teacher Letters of Concern (email communications sent on behalf of the teachers to parents. )
Support attendance processes as needed.
Support at on-campus events.
Specific Computer Experience Required: Familiarity with PC format (Windows); database work (Blackbaud experience is a definite plus);, Microsoft Word, Excel, Google Suite (particularly Google Sheets, Docs, and Forms).
The skills needed are: excellent communication, organizational, database, and computer skills; high attention to detail in order to maintain thorough and accurate student records; facility collaborating with fellow administrative staff, teachers, parents/guardians, and teenage students in particular; ability to work in a busy environment and work effectively with multiple tasks. The Registrar works in direct partnership with the High School Administrative Coordinator, the College Counselor, the HS Administrative Assistant, and works with and reports to the High School Director.

Benefits and Compensation:
This is an hourly, full-time position with full benefits including medical, dental, flexible spending plans, retirement plan (employer contributions after one year of employment), and tuition remission for eligible dependents in our Preschool - Grade 12 program (Staff fees apply). The hourly rate is $32.69 to $40.86 an hour depending on training and experience.
Physical Requirements & Work Environment
Please note this job requires use of a computer and sitting/standing to do computer work much of the day. While the registrar will have a dedicated office, it is important to note that it is not in our main building and will require movement between buildings.
Will require:
Occasionally lifting up to 30 lbs
Working intermittently in outside weather conditions, including heat and cold
Regularly sitting or standing 4-8 hours
FLSA Classification: Hourly; non-exempt from overtime

San Francisco Waldorf School (SFWS) is an independent, co-educational, non-sectarian school providing education from Kindergarten through Grade 12.
