POSITION OVERVIEW
The Administrative Assistant supports the Director Enrollment Management and the admissions office as a whole in a timely and professional manner. To be successful in this role, the selected candidate will be proactive, meet deadlines, communicate effectively, and have an eye for detail. The Administrative Assistant is able to identify and address the administrative needs of the Director and to perform administrative tasks to ensure the admissions office’s workflow runs smoothly.
POSITION SPECIFICS
Greets all individuals entering the building and the admissions suite respectfully and professionally; monitors visitor access and ensures admissions visitors have proper escorts while on campus.
Answers phone calls and email correspondence in a pleasant, professional, and informed manner; provides information to the callers, screening/forwarding calls to the appropriate individuals.
Manages calendars, including the scheduling of meetings, appointments and events.
Coordinates admissions-related events including but not limited to the tour guide meet & greet, open houses, new parent receptions, revisits, and more.
Facilitates internal communication in coordination with the Marketing and Communications department (e.g., distributing materials, scheduling events, creating flyers, etc.)
Provides Finalsite/Blackbaud support, including processing of daily inquiries/applications, entering database changes and monitoring VC spam and bounce email list.
Uploads all supplemental materials for student applications (i.e., recommendations, test scores, transcripts, etc.)
Handles all F-1 student visas and paperwork for incoming, current, and outgoing students.
Manages “Griffey” mascot program including scheduling, cleaning, and storage,
Monitors admissions email inbox (admissions@gocfs.net), serving as first point of contact with prospective families.
Assists with logistics related to the student ambassador program.
Provides admissions department support including but not limited to: managing team lunches, monitoring daily coffee setup, submitting maintenance requests, ordering office furniture, processing office mailings, stocking office snack areas, and maintaining a tidy and professional space at the front desk and first floor reception area at all times.
Orders and maintains inventory of CFS-branded swag items coordinated with Marketing/Communications department.
Creates regular reports, updates databases, and maintains departmental files.
Attends weekly admissions department meetings, participating in those meetings and taking notes.
Provide backup in other departments which may include answering phones, checking in of visitors and vendors, and assisting with various duties.
Additional duties as assigned.
QUALIFICATIONS
The successful candidate will have the following:
Bachelor’s degree required; experience in independent school admission or enrollment management preferred.
2+ years of related administrative, admissions, enrollment, or customer service experience.
Valid driver’s license.
Ability to obtain all required background clearances.

Proficiency with Google Workspace, Microsoft Office, Zoom, Teams are required; enrollment/database systems such as Blackbaud and Finalsite preferred.
Able to work during traditional school hours as well as some evenings and weekends.
Physical Requirements
Ability to work at a computer for extended periods.
Ability to move throughout a multi-building campus and off-site recruitment venues.
Ability to lift up to 20 pounds occasionally.
Ability to see, hear, and speak clearly to interact with individuals and groups.
