About This Role
As our Main Office Receptionist, you will be the first point of contact for families walking through our doors and the primary voice answering their phone calls and questions. You set a welcoming tone for the school day, ensuring students feel secure and parents and staff feel supported. This role positions you at the center of our school community, where you will directly impact daily operations and front-line communications.
Key Responsibilities:
School Day Operations
Monitor family communications via phone, email, and in-person.
Route incoming calls, packages, and mail promptly and professionally.
Greet, log, and assist all campus visitors with warmth and efficiency.
Responsible for administering basic care for minor student illnesses and injuries.
Provide accurate information to families and visitors regarding school procedures, events, and policies.
Operate the electronic entry system and manage visitor protocols to maintain campus security.
Serve as Safety Liaison: monitor cameras, schedule drills, record outcomes, and report deficiencies to the Head of School.
Transportation Management
Maintain and update bus lists to ensure accurate routing and communication with transportation services.
Collaborate with the transportation department to manage student route assignments.
Track and communicate changes in transportation needs to families.
Schedule and coordinate bus logistics for local field trips.
Student Drop-Off & Pick-Up Coordination
Maintain bus lists and coordinate student route assignments with the transportation department.
Communicate transportation changes to families and manage bus logistics for field trips.
Oversee daily drop-off and pick-up to ensure safe, efficient transitions.
Enrollment Support
Welcome prospective families and assist with the admissions visitor experience.
Support school tours and coordinate student tour guides to ensure a polished, welcoming visit.
Process and mail student transfer records requests with accuracy and care for confidentiality.
Qualifications
Strong organizational skills and a calm, professional presence in a high-traffic environment.
Clear, warm communicator—written and verbal.
Proficient in Mac, Google Workspace, Microsoft Office, and database platforms.
Prior experience in a school or administrative role preferred; registrar experience a plus.
Ability to handle sensitive student information with strict confidentiality.
First Aid/CPR certified or willing to be trained.
