JOB SUMMARY
This position is comprised of the following duties: Assistant to the Head of Middle School; All-school Attendance and Health Records Officer; and All-School Receptionist
REQUIREMENT
An Associates (A.A.) degree or higher
REPORTING RELATIONSHIPS
For issues concerning the Middle School, this individual reports to the Head of Middle School. For attendance and health form responsibilities, this individual reports to the relevant Division Head.
DUTIES & ESSENTIAL JOB RESPONSIBILITIES
Middle School Assistant
As the Assistant to the Head of Middle School, this person provides organizational and administrative assistance and includes but is not limited to:
Working with the MS Head to plan and execute events throughout the academic year, such as registration, parent/teacher conferences, parent events, dances, field trips, and the end-of-year moving up ceremony.
Managing the Middle School Head’s calendar and meetings
Managing the Middle School calendar and faculty meetings
Managing correspondence for the Middle School
Helping to track budgetary needs.
Managing the MS Student Information System
Monitoring midterm and final exams, and transcripts
Providing coverage in study halls or classrooms as
Over the summer, this person will assist the Head of Middle School in curriculum and schedule planning for the following year.
Attendance Officer/Receptionist
As the Attendance Officer, this person oversees attendance for the entire student body. This includes monitoring absences, tardiness, unauthorized early dismissal, and Guided Study.
Receives initial calls to the School through the main phone line and distributes calls as necessary.
Manages and follows up with daily parent/guardian email and phone communications regarding matters related to attendance.
Manages attendance records daily and throughout the year within our School Information Management System.
Meets regularly with Division Heads to review attendance practices and to ensure accurate records.
Health Records Officer
Oversee all health form information for the student body.
Ensures all vaccination records and annual health forms are up to date and contacts parents as needed.
Tracks all allergies for the school and ensures any Epi-Pens, or other medications are onsite.
Submits the annual vaccination and health form report to NY State.
Staff support
This person also supports, as requested, various school-wide administrative duties.
In July, this person will be assigned the annual book inventory in preparation for the audit.
There are occasional school events that may require this person to work evenings or weekends.
ESSENTIAL SKILL SETS
This role requires a self-starter and a collaborative team member with strong organizational, time management and problem-solving skills as well as the ability to handle multiple tasks. An ideal candidate has a positive attitude, is sociable, enjoys working with children, and is highly motivated. Requires a high level of professionalism, ethical integrity, and emotional intelligence with an open communication style and a collaborative approach.
REQUIRED
Must be able to complete First Aid and CPR certification prior to school starting in September 2026.
Must apply for and be able to complete the NY State Notary Public examination prior to school starting in September 2026.
PREFERRED
Prior experience planning and working with children such as camp counseling experience.
Proficiency with various school management software/databases.
Skilled in the use of Google for Education.

Professional Children’s School, founded in 1914, provides a rigorous college-preparatory program with flexibility and adaptability for professional and pre-professional students.
