The Elisabeth Morrow School (EMS), a leader in education from early childhood through middle school, seeks a dynamic, personable, and motivated self-starter to become the administrative assistant to the lower school head.
Reporting to the lower school head, the administrative assistant will work in a fast-paced atmosphere where no two days are alike. The ability to think on your feet and manage multiple projects while at the same time interacting with students and parents, organizing events, assisting in scheduling, maintaining time records for employees, and providing ongoing executive support for the division head are among the required duties. A high degree of professionalism and discretion is required in this role. Technological skills are necessary to support a busy office and help boost productivity among staff. Flexibility along with proficiency in a variety of web-based tools including the Google suite of products, Dropbox, and Adobe Acrobat is essential. Willingness to learn new systems and programs required. EMS uses Blackbaud, WordPress, and Magnus SMR, and experience with any/all of these systems is preferred.
Responsibilities
Greets students, families, and guests respectfully and professionally
Answers the main phone line for the school in a pleasant, informed manner for the purpose of providing information and creating goodwill for the school
Understands, accepts, and adheres to the school’s mission
Develops a positive, welcoming, and caring climate in the lobby
Consistently exhibits high standards of professional conduct
Acts as primary liaison between diverse members of the EMS community, including faculty, staff, administration, families, and students
Provides executive support in a high-volume work environment that includes managing schedules, calendars, correspondence, weekly newsletter content, and announcements; securing substitute teachers; and maintaining student records
Oversees any students who are seated in the lobby during any given day for a variety of reasons
Supports a smooth dismissal of students by providing up-to-date information about student dismissal plans/changes to teachers, and the auxiliary programs assistant
Supports teachers with projects and assemblies by organizing lunches, snacks, and coffees for speakers, faculty events, and family events
Assists in the organization and implementation of Back-to-School Night and other divisional events from start through clean-up
Communicates and coordinates the all-school calendar and publishes a weekly memo highlighting divisional and school events
Coordinates substitute coverage and provides timesheets to the business office
Keeps a record of all credit card charges for the building
Assists teachers in filling out forms, including class trip and bus forms
Supports divisional head in maintaining the budget
Analyzes operational problems, develops sufficient solutions, and interacts seamlessly with all levels of staff
Anticipates needs and makes recommendations to the division head to proactively head off any problematic situations
Submits workshops/PD forms for teachers to the business office
Prepares class lists
Prepares the final schedules for classrooms/specials
Makes appointments for division head to arrange meetings
Places supply orders for the Little School building
Places orders from Fresh Direct for healthy snack options for students
Works with vendors to oversee the delivery of lunch
Establishes and maintains solid working relationships with other employees, students, and the general public
Assumes responsibility for other projects as assigned by the Head of School.
Essential Qualifications
College degree required.
Experience working in an independent school or non-profit organization is preferred.
Minimum of 2 years of experience supporting C-level executives.
Proficiency with Microsoft Office and Google Suite and working knowledge of TADS tuition management system and related software preferred.
Experience interacting with various organizational levels from a customer-centric approach and effectively representing senior leadership.
Schedule Requirements
The hours of work are Monday–Friday, 7:30 a.m.–4 p.m. and occasional Monday afternoons until 4:45 p.m. for professional development and faculty/staff meetings. Occasional attendance at school-related functions outside of these regular hours is required.
Compensation and Benefits
This is a full-time position with a benefits and compensation package that is competitive for the region and commensurate with experience, degree attainment, and the national independent school market. The annual salary for this position is expected to range from $60,000 to $70,000.
