Trinity School, a co-educational, K-12 institution located on the Upper West Side of Manhattan, seeks a seasonal Receptionist and Admissions Assistant, Grades K-12 (August 26, 2026 – February 1, 2027). Reporting to the Director of Admissions (Grades 5-12), the Receptionist/Admissions Assistant serves as the primary "face" of Trinity Admissions. The position is responsible for ensuring that every family and visitor feels welcomed, seen, and supported from the moment they enter the building. The Receptionist/Admissions Assistant position is a seasonal position that supports the Lower School Office (Grades K-4) and the Middle and Upper School Office (Grades 5–12) and is a dual-reporting position that supports both offices, requiring exceptional organizational skills and the ability to pivot between different departmental needs.
The work hours are Monday through Friday 7:30 AM – 3:30 PM (the 7:30 AM start time is critical for morning preparations). Lunch is scheduled during midday when admissions tours are not returning.
Key Responsibilities
Visitor Experience and Management
Maintain an active presence in the waiting area. This is not a "desk-only" role.
Greet families, manage coats/belongings, and make sure guests are seated comfortably in the proper area.
Manage groups of visitors with grace, balancing attention among the various groups (children as young as 4 up to students in upper grades).
Ensure waiting areas remain clean, organized, and professional throughout the day.
Manage the daily visitor schedule and communicate arrivals/changes in real-time to the Admissions and Security teams.
General Admissions Operations
Handle telephone and email inquiries with professionalism and school-specific knowledge.
Prepare for staff admissions events, including approximately one weekend tour per month and a limited number of evening events
Middle and Upper School (MS/US) Coordination
Manage the setup of student tour guides and parent ambassadors with applicant families. Work closely with the Admissions Associate to make these connections early in the morning.
Maintain precision in tracking attendance via FinalSite, Google Calendar, and Google Forms
Print name tags for school tours.
Monitor "no-shows" for guides or ambassadors, providing prompt updates to the Admissions Associate and Director.
Address tour guide and ambassador's absences to ensure the visitor experience remains uninterrupted.
Assist with receiving all Middle School applicant families for interviews in January and supporting group interviews in December (occasional 3:30 – 6:30 PM shifts).
Lower School (LS) Administrative Support
Assist with processing applications and creating candidate folders.
Scan and upload essential documents to the admissions database.
Assist in making phone calls and emails to schedule applicant interviews.

Comfort with Office 365, Google Workspace (Calendar/Forms/Sheets), and FinalSite (or a demonstrated ability to learn complex databases quickly).
