Position Summary The Montessori School of Raleigh (MSR) & Carolina Preparatory Academy (Carolina Prep) seeks a new Executive Assistant to the Head of School to begin in June 2026. The ideal candidate will provide high-level administrative and strategic support while exercising exceptional discretion, sound judgment, and strong communication skills. This position plays a critical role in supporting the Head of School and serving as a key liaison to the Board of Trustees and the Leadership Team. We welcome applications from highly qualified individuals with experience working with non-profit boards and/or serving in an executive assistant role within an independent school or similarly mission-driven organization.
Overview Established in 1974, The Montessori School of Raleigh (MSR) & Carolina Preparatory Academy (Carolina Prep) is a vibrant and exceptional independent Montessori and International Baccalaureate (IB) World School institution in the Triangle area serving 400+ students aged 15 months through 18 years. The school is committed to the intellectual, ethical, and personal development of our students. Our Montessori programs for Toddler - Upper Elementary students (15 months - grade 6) are located on a beautifully-designed campus situated on 10 acres in North Raleigh, comprising five buildings in a child-centered, village-like setting surrounded by wetlands and protected forest. Our International Baccalaureate Middle Years and Diploma programmes for middle and high school students (grades 6 - 12) are housed on an expansive 40-acre wooded campus in the Brier Creek neighborhood of Durham. Essential Duties & Responsibilities
Provides support to the HOS in all administrative duties including but not limited to maintaining an active calendar, scheduling appointments, preparing briefing materials for the Board of Trustees, and communicating with both external and internal constituents with discretion
Supports HOS communication with internal departments and community constituents, such as programming and sending HOS communications through Veracross for in-service days, the weekly employee newsletter, etc.
Maintains HOS office files, including budget and credit card reconciliation reports
Provides all logistical and document preparation for meetings of the Board of Trustees as directed by the HOS
Records and prepares minutes for the Board and committee meetings as assigned, and prioritizes relationships and needs of the Board members in the coordination of meetings and events
Serves as second point of contact for incoming phone calls to MSR; transmits calls and messages in a professional, timely, and efficient manner
Greets visitors and provides a thoughtful, warm presence, and provides guidance to parents, guests, students, and employees
Supports the Lower School Campus Operations coordinator when necessary on the visitor management system
In partnership with the Lower School Campus Coordinator, maintains the all-school and administrative calendars in Veracross and Google
Oversees meetings that take place in the Idea Suite, providing coordination and support as needed, including virtual meeting/intercom set-up, refreshments, and food ordering
Manages all-school events and supports MSR and Carolina Prep Division Directors and the Event Coordinator with other school-sponsored events as needed
Manages budgeting log related to front office inventory and manages restock of office snacks and refreshments as needed
Manages school memberships, rosters, and survey submissions such as American Montessori Society, National Association of Independent Schools, North Carolina Association of Independent Schools, and North Carolina Division of Non-Public Education
Partners with the advancement team to complete as needed projects related to admissions, development, and communications and marketing

Qualifications & Competencies The Executive Assistant…
Has a bachelor's degree and at least 5 years experience in an office or administrative setting, or any appropriate combination of education and work experience.

Physical Requirements and Work Environment The Executive Assistant can expect to:
Work in a fast-paced environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts
Work primarily in a traditional climate-controlled office environment spending extended periods of time at a desk and working on a computer
Regularly interact with students, parents, staff, and visitors
Spend prolonged periods of time on the telephone
Occasionally lift up to 30 lbs.
