Stevenson School is a PK-12 co-educational, college-preparatory, boarding and day school with enrollment of 750 students on two campuses in beautiful Central Coast California. The Upper Division campus (Grades 9-12) is located in Pebble Beach. The Lower/Middle Campus (Grades PK-8) is in nearby Carmel-by-the-Sea. Stevenson is a mission-driven school that aims to help students shape joyful lives while instilling a passion for learning and achievement to prepare them for success in school and beyond.
Stevenson School is seeking an organized and collaborative Advancement Events Coordinator to join the Advancement team and start August 1, 2026. Reporting to the Director of Constituent Relations, the Advancement Events Coordinator is responsible for planning and executing a year-round calendar of events that support parent engagement, alumni relations, and stewardship initiatives. The ideal candidate will bring strong project management skills, a service-oriented approach, and the ability to create joyful, well-organized events that strengthen relationships across the Stevenson community. This is a full-time, 12-month-per-year position.
Responsibilities:
Under the supervision of the Director of Constituent Relations, organize and execute events that support parent engagement and alumni relations. Parent programs include Family Weekend, class parties, new-family gatherings, volunteer appreciation events, and Pirate Parents Club-sponsored events. Alumni programs include Reunion Weekend, regional receptions, and affinity group events.
Manage all event logistics from initial planning through post-event follow-up, including facilities requests, venue sourcing, catering, rentals, audiovisual needs, seating arrangements, signage, setup and breakdown coordination, and reconciliation of event-related invoices and payments.
Create and manage events and communications in Slate, including invitations, RSVPs, and attendance.
Develop and maintain event timelines, production schedules, and budgets to ensure events are completed on time and within budget.
Track year-to-year and event-to-event engagement metrics to determine the effectiveness of events and inform future planning.
Organize Grandparents Day at the Pebble Beach campus and provide support for Grandparents Day and other events at the Carmel campus, as needed.
Assist in planning logistics for international and domestic advancement trips including flight and hotel accommodations, alumni and parent receptions, and donor visits.
Provide additional administrative support for major gift level sponsorship gift solicitations and in-kind sponsorships (e.g., list management, progress reports, etc.).
Manage event budgeting and credit card management.
Required Qualifications:
Bachelor's degree.
Three to five years of professional experience in event planning or a related field.
Familiarity with CRMs, web, and standard workplace technology.
Superb interpersonal, written, and verbal communication skills.
Strong organizational, presentation, event planning, and social skills.
Ability to manage multiple demands simultaneously.
Familiarity with an independent school environment.
Capacity to anticipate challenges and initiate solutions.
Flexibility and ability to work an average of three to four evenings and one weekend per month. Thorough understanding of and commitment to the mission of the school.
Ability to maintain an exceptional level of confidentiality and professional discretion.
High degree of professionalism.
Demonstrated organizational skills and attention to detail.
Strong work ethic and willingness to be flexible.
Ability to multitask and work effectively in a fast-paced environment.
Ability to work independently with a customer-focused approach.
The salary range for this position is $70,000 to $80,000, commensurate with experience. In addition to competitive salary, Stevenson offers a substantial benefits package including retirement plan contributions, a choice of Anthem medical plans with generous premium coverage provided by the School, vision and dental group plans, and support of ongoing professional development. Stevenson offers housing and fuel stipends for eligible employees. Meals are provided throughout the day when school is in session.
