St. George’s is seeking a Gift Processing Associate to join a 13-person Advancement and Communications team. The Advancement team is responsible for all capital and annual fundraising, as well as alumni, parent, and other constituent relations.
The Gift Processing Associate will report to the Director of Data Management in all database and gift entry processes to support the initiatives of the Advancement Department. This person will serve as a liaison between the Business Office and ensure the accuracy and utility of donor records in the Salesforce/Affinaquest Database.
Responsibilities:
Gift Processing:
Manage proper acceptance, recording, receipting and reporting of charitable gifts and pledges in the database. Sources include credit cards, checks, wires, Venmo, PayPal, securities, pledges, planned gifts, and gifts-in-kind
Troubleshoot gift-related issues with donors, third-party systems, matching gift organizations, and the Business Office
Create and generate various reports for cash and pledges, including daily fundraising reports, data integrity reports, and giving metrics
Work closely with the Business Office to maintain a monthly reconciliation process and assist with providing backup for the yearly audit
Merge and mail thank you and receipt documents for the Director of the SG Fund, the Associate Director of Advancement, the Director of Advancement, and the Head of School to ensure proper donor stewardship
Assist with the preparation and mailing of pledge reminders, giving summaries, and other gift-related communications
Ensure that special care is given to the confidentiality and security of all gifts and credit card information
Database Integrity:
Maintain the accuracy of contact, biographical, and professional details of alumni and donor records to ensure accurate communication aligned with their preferences. Update sources include LinkedIn, returned mail, general research and donor communications
Interface with the registrar and other school departments to accurately maintain student and alumni records
Complete special projects relating to data optimization, including duplicate record management and new family imports
Manage database screenings with various research tools including iWave and Altrata
Perform database queries and export reports to analyze and inform the fundraising team
Other Responsibilities:
Assist with prepping materials for Donor Meetings and Advancement Events
Assist Events & Stewardship Manager with administrative tasks related to stewardship efforts
Assist with spreadsheets/status reports of specific projects for Trustee and Budget Committee meetings
General office support for Advancement, including ordering supplies and letterhead, and assisting with events, correspondence and outreach
QUALIFICATIONS:
1-2 years of related work experience
An interest in advancement work or non-profit Database Management
Excellent organizational skills, decision-making abilities, and attention to detail
Ability to manage multiple deadlines while ensuring on-time project completion
Experience with a relational database, and proficiency in software including Microsoft Office, Excel, and Google Workspace
Excellent verbal and written communication skills
Enthusiasm for working as part of a team, while working independently, and with initiative and self-motivation
